How to send invoices from your financial system?

The Tribe invoicing module enables you to create and send customer invoices directly from your CRM. However, there are various reasons why you might prefer to send the invoice through your financial application instead of Tribe. This article explains the relevant settings and workflow in Tribe in order to send invoices.

Within the configuration settings for invoicing you can activate the setting 'Send invoice from external system' if you do not want to use Tribe to send your invoices.

The following chapters explain the different scenarios for sending invoices based on the activation of e-invoicing and financial system integrations.

1. With E-invoicing connector activated

  • The Send invoice from external system option appears only if the e-invoicing connector is not activated.

  • When opening an invoice and the e-invoicing is activated, the Finalize option will appear under the Send button dropdown.

2. Without E-invoicing activated

  • If Send from external system is turned off:

    • The Send button will appear and open the email dialog to send the invoice via email.

  • If Send from external system is turned on, a and no Financial integration is activated:

    • The Finalize button will appear.

    • This will:

      • Generate and link the PDF.

      • Set the date and number.

      • Move the phase to sent.

      • Mark the invoice as Final.

  • If Send from external system is turned on and a Financial integration is activated:

    • The Synchronize button will appear.

    • This will:

      • Perform the same actions as Finalize.

      • Additionally, it will trigger a synchronization with the Financial integration (e.g., SnelStart, E-conomic or another system).

  • If the invoice is already finalized:

    • No button will be shown, as the invoice has already been completed.
