What Does The Yuki Integration Do?

The Yuki integration connects Tribe CRM with Yuki through a structured synchronisation. It focuses on keeping contacts and invoices aligned between both systems. This allows you to manage relationships and invoicing in Tribe while ensuring your accounting in Yuki stays up to date.

You should use this integration if Tribe CRM is used to manage contacts and send invoices, while Yuki handles your bookkeeping. The integration reduces duplicate data entry and helps maintain consistent financial records. It is especially useful when invoices need to be visible as outstanding items in Yuki.

How Do I Activate The Yuki Integration?

  1. Log in to Yuki.

  2. Go to Settings, then select Integrations and Webservice.

  3. Copy the API Key.

  4. Log in to Tribe CRM.

  5. Open the Marketplace from the top right of the screen.

  6. Go to the Financial tab and select Yuki.

  7. Enter the API Key from Yuki.

  8. Select the correct Domain and click Confirm Administration.

  9. Open the Contacts tab and review which contact types are imported and exported.

  10. Open the Other Settings tab and choose whether suppliers should also be retrieved from Yuki.

  11. Click Activate and start the initial import.

The initial synchronisation may take some time, depending on the size of your database.

Note: Tribe is the leading system for generating debtor numbers. Make sure automatic debtor number generation is enabled before activating the integration.

How Does Contact Synchronisation Work?

When the integration is activated, an initial synchronisation imports private clients and, if enabled, suppliers from Yuki into Tribe. Inactive contacts are not imported.

After the initial sync, new contacts and changes made in Yuki are periodically updated in Tribe. Changes made in Tribe are also sent to Yuki. Each contact is matched using an external ID assigned by Tribe to prevent duplicates.

Due to limitations in the Yuki API, contacts are synchronised without a customer or supplier type and must be manually updated in Yuki.

How Does Invoice Synchronisation Work?

Invoices are created and sent from Tribe CRM. When an invoice status in Tribe is set to Sent and no external connector ID exists, it is synchronised to Yuki automatically. All invoice lines and details are included so the invoice appears as an outstanding item in Yuki. Payments are not synchronised back from Yuki and must be updated manually in Tribe.

Note: Yuki only accepts invoices for contacts marked as Customer. If this is not set, the invoice will be rejected.

Creating New Contacts

New contacts created in Tribe are synchronised to Yuki as a company or a person. The customer or supplier checkbox is not set automatically and must be enabled manually in Yuki. This step is essential before sending invoices from Tribe.

For invoices, it is important to define a clear internal process to ensure the customer checkbox is activated in Yuki before invoices are sent.

Deactivating Or Deleting Data

Deleting data in one system never deletes it in the other. Data removed from Tribe remains in Yuki, and data removed from Yuki remains in Tribe.

When a contact is deactivated in Yuki, this change is not reflected in Tribe. The contact remains active in Tribe CRM.

What Data Is Synchronised?

The integration synchronises organisation and person data, including names, contact details, addresses, debtor numbers, and VAT information. Billing addresses are synchronised by default. Contact and invoice data remain consistent based on the configured integration settings.
