How Do I Add Multiple Invitees To An Appointment Or Work Order?

This feature allows you to include multiple people in a single appointment or work order, keeping everyone aligned and informed. It is useful when meetings, tasks, or jobs involve more than one participant and need clear visibility across calendars. You might use this when coordinating team members, customers, or external contacts. What Does This Feature Do?

This feature lets you add multiple people to appointments and work orders. These people are added as participants using their relation records in Tribe.

When invitees have an email address, they receive a calendar invitation that they can accept or decline. Their response status is then visible directly in the appointment within Tribe.

Why Or When Should You Use It?

You might use this feature when several people need to attend the same meeting, job, or task. It helps ensure that everyone receives the correct calendar information and stays updated.

This is especially useful for teams working together or when coordinating with customers or external contacts.

Multiple Invitees In An Appointment

For this feature to work as described below, a calendar connection with MS 365 or Google Calendar is required.

When creating a new appointment, you can add multiple participants. These participants must be existing relations in Tribe. If an invitee has an email address, they receive an invitation in their inbox. They can accept or decline the invitation, and their response is shown in the appointment in Tribe.

The appointment is displayed in:

  • The Tribe calendar

  • The external calendar (MS 365 or Google Calendar) of the appointment owner

After an invitee accepts the invitation, the appointment is also added to their own calendar. The owner of the appointment receives an email notification when an invitee accepts or declines.

What Happens When An Appointment Changes Or Is Cancelled

If you cancel an appointment, you must disconnect the invitees from the appointment. This sends them an email notifying them of the cancellation.

Marking an appointment as Completed does not send any notification to the invitees.
Deleting an appointment in Tribe also does not send a cancellation email.

If you reschedule an appointment, all invitees receive a new email. They can then accept or decline the updated invitation.

Work Order Members

A work order is shown in the calendar of the linked employee by default.

You can also add additional people using the + Work Order Member button. Each added member will see the work order in their Tribe agenda.

If your account is connected to MS 365 or Google Calendar, an appointment is automatically created in the external calendar for each work order member.

Where Is This Feature Displayed?

Appointments and work orders appear in the Tribe calendar.

When a calendar integration is active, they also appear in connected external calendars such as MS 365 or Google Calendar. Acceptance statuses are visible inside the Tribe appointment.
