1 What functionalities does the integration with e-Boekhouden have?
The e-Boekhouden integration consists of three components:
Relationship synchronization
Product synchronization
Invoice synchronization
Relationship synchronization
When the integration is activated, during the initial synchronization, (private) customers from e-Boekhouden are automatically loaded into Tribe CRM. A duplicate check is performed on the existing relationships in Tribe CRM. This check is based on a unique ID from e-Boekhouden. If no relationship is found based on this ID, an additional check is performed based on the debtor/creditor number. Inactive relationships are not synchronized to Tribe CRM. This check applies to both business customers and private customers.
After the initial synchronization, new relationships and changes to existing relationship data are immediately updated from Tribe to e-Boekhouden. In the opposite direction, a periodic synchronization takes place. The synchronization is based on the unique ID in e-Boekhouden.
To synchronize a new customer from Tribe to e-Boekhouden, a debtor number is required for the relationship. Without a unique debtor number, the relationship will not be synchronized. Product synchronization
The integration also provides product synchronization. Products from e-Boekhouden are periodically synchronized to Tribe. Duplicate checks are performed based on the ID from e-Boekhouden. No synchronization takes place in the opposite direction.
Invoice synchronization
We assume that you create and send invoices from Tribe CRM. When an invoice has the status Sent in Tribe CRM, it is immediately synchronized to e-Boekhouden as an open item. Payments in e-Boekhouden are periodically processed in Tribe CRM.
Note: To synchronize invoices to e-Boekhouden, it is required to enter the payment term.
Periodic synchronization: The synchronization of relationships, products, and payments from e-Boekhouden to Tribe CRM takes place periodically with an interval of 24 hours.
2 How can I activate the integration?
Note! Are there already data present in both your financial administration and your Tribe environment? First, check whether the correct debtor and creditor numbers have been entered for customers and suppliers in Tribe CRM. This is to prevent duplicates as a result of the initial import.
Open the Marketplace in the top-right corner of your screen.
Go to the Financial tab and select e-Boekhouden.
Activate the integration by clicking “Activate”.
Enter your username and security codes and click Log in.
The configuration will be retrieved. Then link the correct general ledger accounts and VAT groups.
(The VAT codes defined in Tribe CRM must be linked to the correct VAT codes and general ledger accounts in e-Boekhouden.)Then click the button Activate integration and start initial import.
After activation, the initial synchronization from e-Boekhouden to Tribe CRM will start immediately. Depending on the size of your administration, this may take some time.
3 Deactivating and deleting data
Over time, it may be necessary to clean up your relationship or product data.
Deleting data
If you delete data from Tribe, it is important to know that the integration will never delete data from e-Boekhouden. The same applies in reverse: when you delete data from e-Boekhouden, this data will never be removed from Tribe CRM.
Deactivating data
When you deactivate a relationship in e-Boekhouden, it is currently not processed in Tribe CRM with the status “former.” The relationship remains active.
When you deactivate a product in e-Boekhouden, it is processed in Tribe CRM with the status “inactive.” This action is updated almost immediately in e-Boekhouden.
