Configure Your Products and Services Catalogue

Adding products and services in Tribe allows you to include them in quotations, invoices, and sales opportunities. Setting them up properly keeps your sales items organised and ensures they can be reused consistently. In this guide, we show you how to create product groups, add products, and configure key settings. By the end, your products will be ready to use in your sales process.

Organising Your Products

Before adding a product, you may want to organise it into a product group. Groups help keep related products together, so they are easier to find and manage later.

If the group you need does not yet exist, you can create one while setting up your products.

Creating A Product Group

  1. Go to the Configuration area.

2. Select the Products tab.

3. Click Plus Product Group.

4. Enter a name for the group, such as “New Product Group”.

5. Save the group.

Adding A Product or Service

1.In the Products area, click +Product.

2. Select the correct product group, for example “New Product”.

3. Choose a Unit. If the unit you need is not listed, add it first.

4. Optionally, assign a ledger account.

5. Add a VAT group.

6. If the price includes VAT, switch on the relevant Button.

7. Enter the Selling Price.

8. Enter the product Name.

9. Add a Description within the corresponding text field.

10. Optionally, add a unique Code.

11. If you work in multiple languages, add localised names where needed.

12. Save the product.

If you need additional configuration, choose to Save and Open.

Making a Product Divisible

You can control how the product behaves in sales. For example, you can make a product divisible so it can be sold in partial quantities, such as half an hour instead of a full hour.

1.Start by opening the corresponding product. Otherwise, you create a new product and select Save and Open.

2. Select Settings.

3. Choose the slider button option for Is divisible.

4. Select the corresponding Sales Opportunity.

5. Go to Products and select the product you just created.

6. Make the product divisible by selecting the quantity at which you want to sell the selected product. For example, choosing a half product, halves the price.

Changing Product Settings

Once saved, the new Product is available when creating a sales opportunity. Depending on the settings, you may be able to change the price, quantity, or description at that stage.

If you want salespeople to edit the price, quantity, or description, make sure those options are enabled here. If they’re locked, those values can’t be changed during sales.

Keep your products and services up to date. You can make a product inactive so it can no longer be selected. It will remain in past quotations and invoices for reference, and it will stop syncing with the accounting system.
