How Do I Integrate DocuSign With Tribe CRM?

The DocuSign integration lets you send offers and documents for digital signature directly from Tribe CRM. It helps you close deals faster by removing the need to switch between tools, and keeps every signed document and its status stored on the correct opportunity. This is useful whenever an offer or contract needs one or more signatures before a deal can move forward. By following this guide, you will learn how to activate the integration, send a document for signature, and track its progress.

What Does The DocuSign Integration Do?

The DocuSign integration lets you send offers and other documents from Tribe CRM for digital signing through DocuSign. You can invite one or more recipients to sign, either in parallel or in a fixed order, and the signing status is visible from within Tribe. Once every recipient has signed, the signed document and its certificate of completion are automatically attached to the record, and the linked offer and sales opportunity move forward automatically.

Why Or When Should You Use This Integration?

Use the DocuSign integration whenever an offer or document needs a formal signature before you can move forward with a deal. It is especially useful when several people need to sign the same document, or when you want to avoid manually chasing signing status in a separate tool. Because the signed document and its status are stored directly on the opportunity, your team always has an up-to-date record without leaving Tribe.

Prerequisites

Before you can use the DocuSign integration, make sure the following are in place:

  • You need a DocuSign account with REST API access and admin rights to authorise apps. DocuSign plans without API access will not be able to send documents through the integration.

  • Documents you want to sign must be 25 MB or smaller, and cannot be empty.

Note: If you want to allow a signer to reassign their signing task to someone else, your DocuSign administrator must also enable the relevant setting in your DocuSign account. See the Troubleshooting section below for details.

How Do I Activate The DocuSign Integration?

  1. Open the Marketplace from the top right of the screen.

  2. Search and select DocuSign.

  3. Click Install to authorise the integration.

  4. Sign in to your DocuSign account and grant Tribe permission to send and track documents on your behalf.

Once the set up is complete, the connection is stored automatically and status updates are set up for you.

Did you know? Because status updates are pushed to Tribe automatically, you do not need to keep checking DocuSign separately once you have sent a document.

How Do I Add Signature Fields To A Proposal Template?

To enable digital signing, signature fields must be added to your proposal template.

  1. Go to Configuration, then open Sales.

  2. Open the proposal template you want to use.

  3. Decide where the signature fields should appear.

  4. Add a Text Block to the template.

  5. Click Add Field and select the required fields from the Variables group.

DocuSign uses text tags to define signature fields:

{{Docusign.Signer1.Signature}}

{{Docusign.Signer1.Initials}}

{{Docusign.Signer1.DateSigned}}

To add multiple signers, repeat the field and change the number to Signer2, Signer3, and so on.

Note: Make sure you add enough signature fields if multiple people need to sign.

How Do I Send A Document Via DocuSign?

  1. Open the Offer you want to send for signature.

  2. Enter the offer details and select the template with DocuSign fields.

  3. Click Submit offer.

  4. Select Via DocuSign as the sending method.

  5. Attach any additional documents, if needed.

  6. Add extra signers using + Add Digital Signer if required.

  7. For each signer, decide whether to allow them to reassign their signing task using the Can Edit / Reassign option.

  8. Confirm to start the signing package.

DocuSign creates the envelope and delivers it to your recipients immediately.

Note: You can only send one signing package per document. If a signing package already exists for a document, you will need to void or complete it in DocuSign before you can send a new one.

Where Can I See The Signing Status?

Once a document has been sent, an eSignature activity appears in the timeline of the linked offer and opportunity. This shows the status of the envelope and of each individual signer.

Status updates are pushed to Tribe automatically as soon as they happen in DocuSign. If an update seems delayed, click Refresh on the eSignature activity to pull the latest status manually.

Note: DocuSign does not have a separate “viewed” status in Tribe. When a recipient opens a document but has not yet signed it, the signer's status still shows as “pending” in Tribe.

Once every recipient has signed, the signed document and its certificate of completion are attached to the activity automatically, and the sales opportunity moves forward to the next stage. The responsible sales representative is notified.

Troubleshooting

Why can't I resend a document via DocuSign?

You can only send one signing package per document. If a signing package already exists, you will need to void or complete it in DocuSign before you can send a new one.

Why can't a signer reassign their signing task to someone else?

Allowing a signer to reassign their task applies to the whole signing package, not to individual signers. Your DocuSign administrator must also enable the corresponding setting in your DocuSign account before this option will work.

Why was my document rejected when I tried to send it?

Documents must be 25 MB or smaller and cannot be empty. Larger or empty files will be rejected by the integration.

Why does sending fail even though DocuSign is connected?

This usually means your DocuSign plan does not include API access. Check with your DocuSign administrator that your plan is Business Pro or higher.

Quick Summary

The DocuSign integration allows you to send offers and documents from Tribe CRM for digital signing, with support for parallel or fixed-order signers. You can track signing progress directly from the offer and opportunity timeline, and signed documents are stored automatically once complete. This integration removes the need to switch tools or manually track signing status outside Tribe.
