List views in Tribe display records in rows and columns, much like a spreadsheet, with each row a record and each column a field. A list view is defined by two things: the columns, which decide which details appear, and the filters, which decide which records appear at all. Setting up a list view that matches how you work means the information you need is ready each time, without repeating the same search. This guide covers creating a list view, arranging its columns, filtering it, and sorting it.

How Do I Create A New List View?

Two routes lead to a new list view. Either narrow an existing view with filters and save the result under a new name, or describe the list you need and let Tribe AI build it.

Filtering And Saving As A New View

  1. Open a workspace and locate the widget holding the data you need.

  2. Select the List View Icon within the widget.

  3. Apply the filters that narrow the list to the records you need, as described in How Do I Filter A List View? below.

  4. Enter a name for the view.

  5. Select Save as new view.

How Do I Rearrange Columns And Choose Which Fields To Display?

  1. Select the gear icon at the far right of the header row of your list view.

  2. Select Add more columns to bring a new field into the view. Choose the record holding the field — Sales opportunity, Organisation or Contact — then search for the field by name.

  3. Select the eye icon beside a column to hide or show it. Columns are grouped under Shown in view and Hidden in view, and Hide all or Show all moves a whole group at once.

  4. Drag a column by its handle to move it to a new position.

Note: Where the list of columns is long, select Search at the top of the panel to find one by name.

Note: A hidden column remains part of the view. Exports include every column in the view, displayed or hidden. To leave a field out of exports entirely, remove it from the view rather than hiding it.

How Do I Filter A List View?

Filters limit which records appear, so the list shows only what is relevant, such as open tickets, or your own sales opportunities.

  1. Open the filter settings for the list view.

  2. Select a field.

  3. Choose a condition.

  4. Select a value.

  5. Add further conditions where needed.

  6. Select Save.

For example, to build a view showing only your won sales opportunities, set Seller to Equals and choose Myself, then set Phase to Is equal to and choose Won.

Finding The Field You Want To Filter On

Every filter condition starts with a field. The field picker groups fields by the record they belong to, so a field is findable without knowing where it sits in the data model.

  1. Select the record holding the field: Sales opportunity, Organisation, or Contact.

  2. Select Search and enter part of the field name.

  3. Check the badge beside each field name, which shows the record that field belongs to.

  4. Select the field to use it in the condition.

Limitations of the simple field picker & filters

Field picker

  • Fields that link to another record. Where a field holds a link to one or more other records, that field is available in the advanced picker only.

  • Fields marked as advanced. The simplified picker shows commonly used fields. Advanced fields have no toggle to reveal them here.

  • Filtering on a relation as person rather than relation as an organisation. For ex. filtering on sales opportunities related on a person rather than organisation(B2C sales). To use a field belonging to a relation as person, open the advanced picker.

Filters

  • Using filter "is instance of"

  • Excluding a whole group of conditions. The simplified editor applies conditions individually and has no action to negate a group as a whole.

  • Filtering on dynamic values instead of static values.

Note: Where the field you need is unavailable, select Open advanced picker beneath "Need more fields?". The advanced picker covers the full set of fields and conditions.

How Do I Sort A List View?

Sorting orders the records by the values in one column, such as the largest value first or the earliest date first.

  1. Open the menu on the column header you want to sort by.

  2. Select Sort ascending to order from lowest to highest, or earliest to latest.

  3. Select Sort descending to reverse that order.

  4. Save the view to keep the sort order for next time.

Quick Summary

FAQ: Moving From The Previous View Editor

Will I Lose Anything?

Will my existing views still work?
Yes. Where a view can be represented in the new editor, it appears there automatically — no action needed from you. Where a view relies on conditions the new editor cannot represent, the previous editor is shown instead, and the view keeps working exactly as configured. Either way, nothing is deleted or rebuilt.

Do I need to recreate my views?
No. No action is required from you.

Can I still use the view settings I know?
Yes. The Views tab under Configuration remains available, with the full advanced field picker and the complete set of filter conditions. To access it, click on the three dot menu in the list view, and choose “go to entity settings”.

Will this change what my colleagues see?
No.

Will the previous editor continue to be supported?

Yes. The previous editor remains available and supported. Our aim is to make Tribe's more powerful capabilities easier to use, not to take them away, so we'll monitor how the previous editor is used and decide any future steps from there.

Why Does Mine Look Different?

A colleague has the new editor and I don't.
The new experience is being released progressively, reaching all customers by 15 September. Until it reaches your account, everything continues to work as before.

I Can't Find Something

A field or filter condition I use isn't available.
The simplified field picker and filter editor do not support some of the more advanced mechanisms. See Limitations of the simple field picker & filters for the full list, and select Open advanced picker to reach them.

Where has the settings gear gone?
Managing views now happens directly in the list, so the gear is no longer needed for it. Entity settings have moved into the three-dot menu.

Did I Break Something?

I hid a column, but it still appears in my export.
Hiding a column keeps it part of the view. Exports include every column in the view, displayed or hidden. To leave it out of exports, select Remove from view instead of Hide column.

My sort order disappeared.
Save the view after sorting to keep that order for next time.

I don't have the option to create or manage views.
Creating and managing views is available to all users unless their role excludes edit or delete rights on view configuration. Contact your Tribe administrator to have those rights added.
