Activity Timeline: Before and After

Beginning of October, 2026, the Activity Timeline has been redesigned to make it easier to scan, filter, and manage activities on a record, particularly when a record has a large number of them.

This document compares the previous timeline against the redesigned version, area by area, covering activity cards, filters, section headers and statistics, notes, the view switcher, attachments, and list configuration.

Activity Cards

Before: Activity data was displayed inconsistently across cards, and there was no clear indication of an activity's status or phase.

After: All data on the card is displayed as chips, making it easier to scan. Every card now uses the same three zones: a header (type, status pill, and timestamp), a body (the subject and key details for that activity type), and a notes area at the bottom. The status or phase of the activity is shown clearly in the header. The "Mark as Done" button for tasks and appointments has moved to before the title, so it always appears in the same predictable place. Attachments on the card appear as previews, images as small thumbnails and other files as file-type icons, and clicking an image or PDF thumbnail opens it in a full-screen preview.


Filters

Before: Filtering only happened at section level. Clicking an option filtered that section by the selected activity type, with no way to filter the whole timeline at once.

After: A global filter now filters all sections at once. Clicking the filter-setting icon opens the filter options, which include Created by me (activities you created), Interactions only, and specific activity Types. Filter choices can be saved as a preference, so the timeline opens with the preferred view each time. When a filter is active, section counts show X of Y items, so it is clear how much of the timeline the filter is showing.

Section Filtering

Before: A bar listed the activities in the current section. Clicking an activity card filtered that section by the selected activity type.

After: Section filtering still exists, but now sits inside the section statistics breakdown (see below) rather than as a separate bar.


Section Headers

Before: Section headers were shown as a pill with the section name, with no clear indication of whether they could be collapsed or expanded.

After: Section headers now show a counter of how many activities they contain. If a global filter is applied, the counter reflects the filtered count out of the total.


Section Statistics

Before: No equivalent existed.

After: Section headers now include a Section Statistics icon. Clicking it shows a breakdown by activity type, with the number of cards of each type in that section. Clicking a breakdown item filters the current section, keeping the previous section-filter behaviour, and works as a quick filter without needing to open the main filter. Statistics remain visible even when a section is collapsed, giving managers a quick overview of the whole timeline.

Notes

Before: The notes counter appeared in the card header. Clicking it hid or showed the notes section at the bottom, which was unexpected behaviour. When expanded, all notes were shown regardless of number or length, increasing scroll length and forcing users to collapse the section repeatedly.

After: The "Add a note" field is now always visible, with the notes counter moved beside it. Clicking the counter or arrow expands the notes section; clicking the arrow again closes it. The section shows the latest three notes plus an "X more" button (where X is the number of remaining notes), which opens a sidebar containing all relevant notes. The sidebar width can be adjusted by dragging its edge, for comfortable reading. The header icon that hides or shows all timeline card comments keeps its existing behaviour.


Activities View Switcher

Before: An icon-only switcher with low discoverability.

After: The switcher stays in the same place but has a new appearance, now presented as a views dropdown with three options: Timeline (the standard feed), List (a sortable, scannable list), and Audit trail (the record's audit history). The audit trail view has moved under this same switcher, making it easier to find.


Attachments

Before: Independent attachments (not linked to a specific activity card) had only a name and description field, making it hard to identify a specific one when there were many.

After: Attachments now include thumbnails and file-type icons, making them easier to scan and identify.


Manage "+Activity" Option List

Before: It was unclear what was being managed, as the configuration replaced the timeline content and was triggered from an unexpected place.

After: List configuration is now accessed directly from the list popover.

Configuration opens as a sidebar, with the popover's columns shown as tabs, making it clear what is being configured.
