What Does The ValidSign Integration Do?

The ValidSign integration lets you send proposals from Tribe CRM for digital signing. You create opportunities and proposals as usual, then choose to send them via ValidSign. One or multiple recipients can be invited to sign, and the signing status is visible in both Tribe and ValidSign.

Once all recipients have signed, the signed documents and evidence files are automatically added to the opportunity in Tribe CRM.

You should use the ValidSign integration when proposals need formal approval or signatures. It is especially useful when multiple people must sign the same document. Using digital signatures helps shorten turnaround times and keeps all signed documents stored with the correct sales records.

How Do I Activate The ValidSign Integration?

  1. Log in to ValidSign.

  2. Open Admin Settings using the avatar in the top right corner.

  3. Go to API Access.

  4. Reveal and copy the API Key.

  5. Log in to Tribe CRM.

  6. Open the Marketplace from the top right of the screen.

  7. Go to the Digital Signing tab and select ValidSign.

  8. Paste the API Key into the field.

  9. Click Activate.

The integration is now active.

How Do I Add Signature Fields To A Proposal Template?

To enable digital signing, signature fields must be added to your proposal template.

  1. Go to Configuration, then open Sales.

  2. Open the proposal template you want to use.

  3. Decide where the signature fields should appear.

  4. Add a Text Block to the template.

  5. Click Add Field and select the required fields from the Variables group.

ValidSign uses text tags to define signature fields.

For a click-to-sign signature, add:
{{Validsign.Signer1.ClickToSign}}

For a hand-drawn signature, add:
{{Validsign.Signer1.Signature}}

To add multiple signers, repeat the field and change the number to Signer2, Signer3, and so on.

Note: Make sure you add enough signature fields if multiple people need to sign.

How Do I Send A Proposal Via ValidSign?

  1. Open an Opportunity and go to the Products tab.

  2. Add the required products.

  3. Click + Quotation.

  4. Enter the proposal details and select the template with ValidSign fields.

  5. Click Submit Offer.

  6. Select Via ValidSign.

  7. Add any additional attachments if needed.

  8. Add extra signers using + Add Digital Signer if required.

  9. Click Start.

ValidSign sends all recipients an email with a link to sign the document.

Where Can I See The Signing Status?

The signing process can be tracked in both systems.

In Tribe CRM, an eSignature activity appears in the opportunity timeline. This shows which signatures are completed and which are still pending. Attachments, the original proposal, the signed document, and the evidence file are all stored here.

Once all signatures are collected, the opportunity stage updates to Quotation Signed, and the responsible sales representative receives a notification.

You can cancel an active signing process by clicking Cancel in the eSignature activity, as long as the process is still ongoing.

Signing Attachments

If an attachment needs to be signed separately, you can use the ValidSign Designer to add signature fields.

  1. Open the eSignature activity in the opportunity timeline.

  2. Add the attachment if it is not already included.

  3. Click ValidSign Designer.

  4. Drag and drop Signature Fields onto the correct locations in the document.

Note: Attachments can only be edited in the ValidSign Designer before the signing process has started.
