What Does This Feature Do?
The Microsoft mailbox feature allows Tribe to read emails from a shared Microsoft 365 mailbox and archive them automatically. Emails are linked to the correct relation and can also be linked to an existing or new activity. Once an email is processed by Tribe, it is moved to the deleted items folder in the mailbox.
Why Or When Should You Use It?
You should use this feature when multiple colleagues work from a shared mailbox and want all communication stored centrally in Tribe. This ensures nothing is missed and everyone has the same overview of customer contact. It is especially useful for sales, support, or service mailboxes.
Settings In Office 365
These steps are required to allow Tribe to access the mailbox. They are usually performed by a system administrator.
Go to the Microsoft Entra Admin Centre.
Select Applications, then click App Registrations.
Click + New Registration.
Enter a clear application name.
Select Accounts In This Organisational Directory Only.
Click Register.
Copy the Application (Client) ID and Directory (Tenant) ID and save them securely.
Click Add A Certificate Or Secret.
Click + New Client Secret.
Enter a name, choose the expiry period, and click Add.
Copy the Value of the client secret and save it securely.
Go to API Permissions.
Click + Add A Permission.
Select Microsoft Graph.
Select Application Permissions.
Add Mail.ReadWrite.
Click Add Permissions.
Click Grant Admin Consent and confirm.
Note: These permissions apply to all mailboxes in the tenant. Access can be limited to a single mailbox by creating an Application Access Policy in Microsoft Entra.
Settings In Tribe
Once Microsoft 365 is configured, you can set up the mailbox in Tribe.
Go to Configuration.
Select Emails & Campaigns.
Click Mailboxes.
Click + Mailbox.
Enter a mailbox name.
Click Save And Open.
Select Microsoft Mailbox as the mailbox type.
Enter the Client ID, Tenant ID, and Client Secret collected earlier.
Enter the Email Address of the mailbox to be read.
Set the mailbox to Active.
Click Save.
When the configuration is correct, processed emails appear under Unlinked or Linked in the mailbox overview.
Troubleshooting
If emails do not appear in the Tribe mailbox, send a test email directly to the mailbox address shown in the mailbox settings. This helps determine whether the issue is within Tribe or related to Microsoft routing or permissions.
