Introduction

Despite extra input checks and careful employees, you may still have duplicated relations in your CRM. Using the merge function, you can easily transfer the data in the duplicate record to the correct record. So that the duplicate record can then be deleted. Merging double relations works with both organisations and persons.

1. How do I merge a relationship?

Duplicate relations can only be deleted once they no longer have any history attached to them. With the merge functionality you can easily move contacts, activities linked to an organisation and any time records to the correct relation. The data from the fields can also be moved from the duplicate record, to the correct record, at the click of a button.

Follow the steps below to merge the data:

  • Open a relation you want to merge.

  • Click on the dot menu and select merge.

  • Search for the relation you want to merge with. The already selected relationship is filtered out of the search result.

  • Both relations are compared. The bullets below explain the various options on the screen.

  1. The header shows the default data (if entered)

  2. The tabs contain the linked data for the relation, such as linked contacts, activities, time records, etc.

  3. Green copy all non-conflicting fields to ... : allows you to move several data at once. The contents of the fields with a green arrow are moved left/right.

  4. Red move all to ... : moves all linked records to left/right.

  5. When you have moved all the data to the right place, you can delete the final duplicate relation via the dot menu.

2. Points of attention when merging

There are a few points to bear in mind before merging. These are listed below.

  1. Merging is only possible for relations (organisations, contacts and individuals) of the same relation type. So we do not support merging a supplier and a customer, or merging activities.

  2. If you make changes in a field on the Relation Card during the merge, using the arrows or by manually modifying data, these are saved immediately just like in the daily use of Tribe CRM.

  3. If the relation to be deleted has an external ID from a financial link, this ID is not included when transferring data to the record to be saved. The external ID is thus lost. Therefore, make sure that the relation synchronised with the financial package remains the main relation and that you do not delete it.

  4. Merging is only possible if the user has permissions to do so. This can be set in the roles, in the general block.

  5. The user who is going to merge must have edit rights. On both the entities being merged and the linked activities.
