E-invoicing refers to full digital handling of invoices between sender and recipient. The E-invoicing integration in Tribe CRM makes it possible to send invoices via the Peppol network to the recipient. The services offered by EasySystems are used for this purpose. In addition, when sending the invoice, it is possible to generate an E-invoicing XML without using the Peppol network.

1 How does the integration work?
With e-invoicing, an invoice is sent in a standardised format (UBL) over a regulated network. UBL (Universal Business Language) is the standard format for electronic invoicing. It is an XML file specifically designed for invoices. A UBL invoice allows invoice data to be sent from system A to system B. The UBL invoice can be read directly, without manual input. It is therefore not a PDF file.
Easy Systems
To use E-invoicing, you need to have a paid account with Easy Systems. This is necessary because, as an access point, Easy Systems also has to validate all connected organisations and register the necessary data to prevent fraud.
If your organisation is connected to another access point, you cannot use E-invoicing via Tribe CRM. You can only be connected to one access point, you can switch access points if necessary.
2 How do I activate the integration?
Note: Via the integration, it is possible to send invoices via the Peppol network, for this it is necessary to enter your Easy Systems username and password. If you do not use Easy Systems, but need an e-invoicing XML, leave the username and password blank. In both cases, it is necessary to enter your own organisation's details.
At the top right of your screen, open the marketplace.
Go to the financial tab and select E-invoicing.
Activate the integration by clicking on activate.
Enter your Easy Systems username and password.
Then enter your own organisation details.
Click on the activate button. The entered data will be checked with EasySystems and the integration activated if it meets the requirements.
Input checks
Fields marked with * are mandatory
VAT Number must contain at least 12 characters
IBAN Number should contain 18 characters
BICCode must contain at least 8 characters
E-mail address must contain a valid e-mail address
3 How do I send the invoice via the Peppol network?
Create an to invoice as you are used to. After activating the integration, an additional option will appear under the Send Invoice button when sending the invoice.
E-invoicing via Tribe CRM
After starting E-invoicing, a number of things from the recipient are checked:
The invoice must be linked to a customer relationship
A valid Chamber of Commerce or OIN number must be registered with the customer
Customer's billing address must be entered
The country in the billing address must be set to country code Netherlands or Belgium
Customer must have a debtor number
When sending, the validation system of the Peppol network will test the invoice content on e.g. VAT percentages, total counts etc. If the validation succeeds, the invoice will be set to sent status in Tribe. If the validation fails, the Peppol error message is displayed in Tribe. The invoice remains on draft status.
E-invoicing status
After sending the invoice, the status will be visible in the details tab of the invoice.
4 How do I create an E-invoicing XML?
The steps for creating an XML without the Peppol network are basically the same as the previous chapter. When sending, you have an additional option for creating the XML.
