How Does E-Invoicing Work?
E-invoicing sends invoices in a standardised UBL format (Universal Business Language) over a regulated network. UBL is an XML format specifically designed for invoices, allowing invoice data to be transmitted from one system to another without manual entry. Unlike a PDF, a UBL invoice can be read directly by the receiving system.
To use Peppol e-invoicing, your organisation must have an active account with Easy Systems, which acts as the access point for validation and fraud prevention. You can only be connected to one access point at a time, but it is possible to switch if needed.

How to Activate the E-Invoicing Integration
Open the Marketplace at the top right of your screen.
Go to the Financial tab and select E-invoicing.
Click Activate to start the integration.
Enter your Easy Systems username and password if using Peppol. Leave blank if you only need to generate an E-invoice XML.
Enter your organisation’s details.
Input checks:
Fields marked with * are mandatory.
VAT Number: at least 12 characters.
IBAN Number: 18 characters.
BIC Code: at least 8 characters.
E-mail address: must be valid.
Click Activate. Tribe will validate the entered data with Easy Systems and enable the integration if the requirements are met.
How to Send an Invoice via the Peppol Network
Create an invoice as usual.
After activating the integration, select the E-invoicing option under Send Invoice.
Ensure the following requirements are met for the recipient:
The invoice is linked to a customer relationship.
A valid Chamber of Commerce or OIN number is registered.
Billing address is entered with country code.
Customer has a debtor number.
Tribe will validate the invoice via the Peppol network.
If validation succeeds, the invoice status will change to Sent.
If validation fails, the Peppol error message is displayed and the invoice remains in Draft status.
Note: After sending, the e-invoicing status is visible in the Details tab of the invoice.
How to Create an E-Invoice XML
Create an invoice as usual.
Select the Create E-Invoice XML option when sending.
The XML file will be attached to the invoice.
Click the icon in the Attachments section to download the XML file.
Did you know? You can generate an E-invoice XML even without using the Peppol network. This is useful for systems or partners that require UBL files but are not connected to Peppol.
