What Does The Work Order Module Do?
The work order module brings planning, execution, and invoicing together in Tribe. A work order records agreements, hours worked, and delivered products. It allows teams to register work on site, collect digital signatures, and prepare invoices based on completed work.
Why Or When Should You Use It?
You can use the work order module when work is carried out on location and needs to be confirmed by the customer. It is especially useful for service teams who want clear planning, accurate time registration, and a smooth handover to invoicing.
How Are Work Orders Planned And Scheduled?
Work orders are planned using the Work Order Dashboard.
Scheduled work orders are shown in My Workplace and can be synchronised with Outlook or Gmail calendars. This gives colleagues insight into each other’s planning and availability.
How Do You Create And Complete A Work Order?
A work order can be created from different places in Tribe.
You can create one from a Project, a Won Sales Opportunity, or directly from a Relation. The work order is then used to record work performed during a customer visit.
How Do You Register Hours And Products?
Hours can be booked directly on the work order.
They can be registered manually or by using the built-in Timer, and this works on a smartphone, tablet, or computer.
Delivered products can also be added to the same work order, giving a complete overview of what was done and supplied.
Note: Registering hours and products directly on the work order helps prevent misunderstandings and keeps records accurate.
How Do You Send And Sign A Work Order?
After completing the work, you can report the work order as Done.
You can then choose to:
Send the work order For Information, or
Send it for Digital Signature.
Customers can view and approve the work order in a web browser, or sign directly on a tablet during the visit. The work order is sent using your own corporate identity.
How Do You Transfer A Work Order To An Invoice?
Once a work order is approved, it can be transferred directly to an invoice.
All lines from the work order are copied into the invoice, which can then be processed and sent by the back office.
Where Is The Work Order Dashboard Displayed?
The Work Order Dashboard shows planning and registered hours per employee.
You can extend the dashboard with your own widgets and views, allowing you to keep a clear overview and quickly open specific work orders.
