This is Module 3 of the Tribe Administrator Training. Templates are one of the most impactful things you configure as an administrator. Every time a colleague sends a quotation, a confirmation email, or an invoice, they rely on a template you built. Getting templates right means consistent communication, less manual work, and fewer mistakes.

Email vs. Document Templates
Before building anything, understand which template type to use for which situation. The two types work differently, live in different places in Configuration, and serve different purposes.
Assignment 1: Build an email template
Create a new general email template for a common use case in your organisation — for example, a follow-up after a meeting or a quotation cover email.
Add at least three merge fields, such as the recipient's name, your organisation's name, and a relevant date or reference number.
Assign the template to a category.
Test the template by opening it from a relation or activity and verifying that the merge fields populate correctly.
Assignment 2: Build a document template
Create a document template for a quotation or another document your team sends regularly.
Include a product line block to display the selected products.
Use a partial template block for your organisation's standard footer or signature.
Preview the template using real data before publishing.
Using Merge Fields
Merge fields are what make templates dynamic. They pull data from Tribe: relation names, quotation numbers, dates, employee details — and insert it automatically every time the template is used.
Building and Publishing a Template
With the right template type chosen and merge fields understood, you are ready to build. This step covers the full process from first block to published template.
Assignment 3: Organise your template library
Review the existing templates in your environment.
Create or refine category names so templates are easy to find.
Archive any templates that are no longer in use.
Verify that all active templates are linked to the correct entity and accessible from the right place in Tribe.
